Payment
- A non-refundable down payment of $2500 is due at time of booking.
- Down payment includes deposit for catering.
- Final payment of all venue, catering, and rental fees are due no later than 10 days prior to event.
- In addition to final balance, a $500 REFUNDABLE security deposit is also collected and will be returned no later than 2 weeks following the event once the property, the home, and its contents have been inspected.
Times
- Rental time is for 12 hours and should include time for preparation (hair, makeup, dressing, photographs, etc.), setup, decorating, vendor load in, wedding or event time, clean up, and vendor load hout.
- The rental time begins 5 hours prior to the event start time.
- The event should last no more than 5 hours (4 hours for a reception plus 1 hour for a ceremony for weddings). The remaining 2 hours are designated for cleanup and load out.
- Events that go beyond 5 hours will be billed for additional labor costs of $35 per catering, venue, and bar staff member per hour.
- Additional hourly rental charges may apply if duration of event causes building usage time to extend beyond 12 hours.
Date Changes
- In the event that the agreed upon date needs to be changed, we will make every effort to accommodate the change. However, if an available alternative date cannot be agreed upon, the event will be cancelled and entire down payment will be forfeited.
- The alternative date must be within 6 months of the original date or otherwise will be subject to a $500 extended rebooking fee.
Cancellations
- Any cancellations of the event will result in the forfeiture of entire nonrefundable down payment unless we are able to rebook the date.
- In the event that we rebook the cancelled date, the client will receive a partial refund of $1500.
- Cancellations made within 10 days of the event, after client has paid entire balance will result in forfeiture of all funds paid.
Weather
- Our venue is designed to use both indoor and outdoor spaces for events.
- The client has the opportunity to rent a tent from one of our preferred rental companies.
- A tent must be finalized and paid for in full no later than 5 days prior to the event.
Food & Catering
- Our in-house caterer is Draper’s Catering of Memphis
- No other food may be brought in except the following:
- Wedding Cake
- Groom’s Cake or Dessert
- Edible Favors
- Snacks or meals for bridal party or guests during the time leading up to event.
- Alcohol (See below for guidelines)
- Non alcoholic drinks (soft drinks, bottled water, etc.)
Alcohol & Bar Service
- Client may provide alcoholic beverages (Beer, Wine, Champagne, and Liquor) which must be served by licensed and insured bartender employed by Draper’s Catering.
- Client may provide mixers or has the option to purchase mixers from Draper’s at an additional charge.
- Client must purchase a bar package with the appropriate number of bartenders in order to have alcoholic beverages served at event. Click here for pricing.
- Alcoholic beverages will only be served during designated event times and will not be available for consumption prior to or following the event.
- Any guests who bring their own alcohol must give it to the bartender for service. If the guests decline, they will be asked to leave the premises.
- Our bartenders will exercise due care in serving alcoholic beverages, and will refuse service to any person appearing to be under the age of 21 or any person who appears to be intoxicated. Identification and proof of age will be requested from any person who appears to be under 21 years of age.
- Last call must be made 30 minutes prior to the scheduled end of the event.
- Alcohol service will conclude 10 minutes after last call.
- As the host of the party, you are responsible for the safe travel of any guest who may not legally be able to drive due to alcohol consumption. If necessary, our staff will make arrangements for intoxicated guests and will either bill client or retain a portion of the damage deposit to cover any transportation expenses.
Rentals & Vendors
- All rentals must come through a preferred rental vendor and must be coordinated by our staff unless otherwise agreed upon in advance.
- All outside vendors must be approved in advance.
- Vendors will have access to venue no more than 5 hours before the start time unless otherwise agreed upon in advance.
- Vendors must remove all equipment the evening of the event unless otherwise agreed upon in advance.
- Site visits with vendors may be conducted with or without the presence of a DRAPERS representative but only during normal Strawberry Plains business hours. These visits must be scheduled in advance.
Other Policies
- Nothing may be pinned, taped, tacked, stapled, or nailed to any surface inside or on the outside of The Davis Home.
- Furniture inside the home may not be used outside.
- Sparklers, rice, and confetti may not be used on the premises.
- Smoking is not permitted inside The Davis Home and smokers must use provided ash trays and cigarette receptacles.
- No candles may be used inside The Davis Home.
- All candles used outside must be self-contained.
Please note that this is not a complete list of venue rental policies and that all polices are subject to change without notice. The actual policies that any client booking The Davis Home at Strawberry Plains must abide by will be outlined in detail in the official rental agreement contract.
